Converting Content Data Records into Searchable Ones

If you did not perform text recognition when scanning a document or if you perform text recognition after changing the language settings for text recognition, you can perform text recognition again to convert content data records into searchable ones with ScanSnap Home.

When the document type of an image is [Documents] and the file format of an image is PDF, the image can be converted into a searchable PDF file by performing text recognition on the text. The number of pages for a searchable PDF file is unlimited.

Only images of documents that you scanned with the ScanSnap can be converted into searchable content data records.

HINT
  • Even if the images in a PDF format are created by scanning documents with the ScanSnap, the PDF files cannot be converted into searchable ones if the following is set in the PDF files.

    • Password

    • Digital Signature

Windows

  1. Display the Main Window of ScanSnap Home.

    For details, refer to To Display the Main Window.

  2. In the content data record list view, select a content data record that you want to convert into searchable one.

    If you convert multiple content data records into searchable ones, select the content data records while holding down the [Ctrl] key or [Shift] key.

  3. Select [Convert to searchable content data record] in the menu that appears when you right-click the selected content data record.
    HINT
    • The items in the menu are disabled in the following cases:

      • When multiple content data records of different document types are selected

      • When a content data record whose document type is [Photos] is selected

  4. When you select a language for text recognition in the message window and convert an image into a searchable PDF file, select the [Embed text information in a PDF file] checkbox.

    Images that can be converted into searchable PDF files are as follows:

    • Document type: Documents

    • File format: PDF

  5. Click the [Yes] button.

Text recognition is performed on text that is on an image, the content data record of the image becomes searchable in ScanSnap Home, and then the results of the text recognition are applied to the meta information.

In addition, when images are converted into searchable PDF files, text on the files becomes searchable in ScanSnap Home as well as applications other than ScanSnap Home.

Mac OS

  1. Display the Main Window of ScanSnap Home.

    Click the [ScanSnap Home] icon ScanSnap Home Icon in the application list that appears when you click Launchpad in the Dock.

  2. In the content data record list view, select a content data record that you want to convert into searchable one.

    If you convert multiple content data records into searchable ones, select the content data records while holding down the [command command] key or [Shift] key.

  3. Select [Convert to searchable content data record] in the menu that appears when you click the content data records while holding down the [control] key on the keyboard.
    HINT
    • The items in the menu are disabled in the following cases:

      • When multiple content data records of different document types are selected

      • When a content data record whose document type is [Photos] is selected

  4. When you select a language for text recognition in the message window and convert an image into a searchable PDF file, select the [Embed text information in a PDF file] checkbox.
